What to include in an SEO client report

The sections that belong in a report depend on the client relationship and the data you can actually stand behind. A report that includes conversion data from a misconfigured GA4 property is worse than one that omits it. As a practical guide, most monthly retainers need four things: a plain-English summary, traffic data, ranking movement, and a prioritised action list. The table below maps each section to what it answers and which data source it draws on.

SectionWhat it answersData source
Executive summaryDid the month go well or not?Human judgment
Organic trafficDid more people find us via search?GA4 + GSC
Keyword rankingsAre we moving up for terms that matter?Rank tracker
BacklinksIs the site gaining authority over time?Ahrefs / Moz
Technical healthIs the site healthy for crawlers?Screaming Frog / GSC
ConversionsIs organic traffic turning into business?GA4
Next-period actionsWhat are you doing next month?Agency judgment

Monthly vs quarterly SEO reports

Monthly reports match the billing cycle and keep a client informed without asking them to remember context from three months ago. They work best when the site moves fast enough that there is something worth reporting month on month. A site with fewer than 500 organic visits per month may not produce statistically meaningful month-over-month changes; a 20% swing on 400 visits risks alarming a client over noise.

Quarterly reports trade frequency for depth. They give the space to show trend lines, attribute organic revenue across 90 days, and present competitive gap analysis that looks different over a longer window. They are standard for SEO retainers where strategic alignment matters more than weekly check-ins, and they suit clients in slow-moving niches where month- to-month data is inherently volatile. The ecommerce quarterly preset in the generator above is designed for this conversation.

How to write a client-facing SEO executive summary

The executive summary is the only section most clients actually read. Its job is to answer three questions in plain English before the reader reaches the data: did the period go well, what was the main driver, and what is happening next? A paragraph that opens with "organic traffic increased 12.5%" and closes with the single highest-leverage action for the coming month does more for the client relationship than a six-section dashboard.

Common mistakes: leading with a metric the client has no frame of reference for (GSC impressions without context), explaining what SEO is (they hired you), and listing everything that happened rather than what it means. If ranking for a specific term moved from 18 to 9, say so. Tell the client that position 9 is one page away from the traffic that matters. The generator above uses your traffic and ranking inputs to draft this language and then leaves the judgment calls as labelled placeholders.

Automating the data, keeping the judgment

Multi-Site SEO connects Google Search Console and GA4 for every site in your portfolio, refreshes daily, and surfaces a weekly prioritised action list per property. The monthly report writes most of itself from data that is already current. You review, add the judgment layer, and send.

SEO client reporting: frequently asked questions

A useful SEO client report includes an executive summary, organic traffic and impressions data from Google Search Console and GA4, keyword ranking changes, backlinks gained or lost, and a prioritised list of next-period actions. Larger retainers often add technical health (crawl issues, Core Web Vitals) and conversion or revenue attribution. The generator above lets you pick the sections that match your client relationship. A busy founder needs four sections; an e-commerce QBR needs six.
